Position Summary:

The Executive Office Assistant will support the Executive Office in coordinating executive routines, governance activities, and strategic corporate events, ensuring high-quality support to the Management Team across Brazil and Latin America.This role requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a dynamic and fast-paced environment.

 

Main Responsibilities

  • Support executive governance routines, including meeting coordination, agenda preparation, minutes, and follow-up of actions;
  • Coordinate logistics for executive meetings, leadership forums, and strategic events;
  • Support corporate events, customer visits, dealer visits, and institutional activities;
  • Manage travel arrangements, reimbursements, and related administrative processes;
  • Organize and maintain executive documentation and SharePoint environments;
  • Interface with internal stakeholders, external partners, and suppliers;
  • Provide operational and coordination support to the Management Team when required;
  • Ensure confidentiality and professionalism in handling sensitive information

 

Required Qualifications:

  • Bachelor’s degree in Executive Secretariat, Business Administration;
  • Fluent English (mandatory);
  • Advanced/Fluent Spanish (mandatory);
  • Experience supporting executives and leadership teams;
  • Solid experience in corporate event organization and coordination (mandatory);
  • Experience managing multiple priorities in a dynamic environment;
  • Strong organizational and communication skills;
  • High level of discretion, ownership, and attention to detail.
