What you will do

In this role you will be an important ambassador for the VGFW (Volvo Group Future Workplace) concept and the ways of working. As a Workplace Manager you optimize the physical environment of the workplace. You focus on facilities planning and design, meaning coordinating and implementing furniture, equipment, layout and moves (etc.) supporting the VGFW concept. You also actively contribute to the efficient utilization of space and facilities.

You manage the daily business, and you keep the office up to date and relevant to the changes in the business needs of the tenants. The goal is always to improve efficiency and satisfaction of the office as an attractive meeting point.

You collaborate with VGRE colleagues, FM partners/suppliers and have a frequent dialogue with local stakeholders to secure excellent workplace experience. You also actively participate in the tactical work together with Center of Expertise to further develop our Workplace Experience and services.

You are responsible to proactively maintain an exxcellent workplace experience and environment for people to thrive, every day.

By being proactive, close to the business and acting and planning for continuous improvements you make sure that the workplace is relevant and up to date. You maintain the Volvo Group Future Workplace concept as a living concept.

 

Key responsibilities 

  • Responsible to proactively manage, control, develop and improve the workplace experience at site level and within the area of responsibility, including costs and defined quality through close cooperation with colleagues and suppliers.
  • Responsible for facilities planning and/or design; coordinating and implementing furniture, equipment, layout and moves (etc.). This includes to take responsibility for the overall workplace experience in assigned facilities.
  • Responsible to drive space optimization within area of responsibility and drive VGFW-initiatives.
  • Managing large projects or (end to end) processes with limited oversight from manager.
  • Responsible for seating and occupancy planning together with the business stakeholders, including planning for future offices
  • Responsible to conduct regular GEMBA walks to put eyes on the premises and to secure an excellent workplace experience, with a Health & Safety perspective.
  • Responsible for assuring compliance with relevant directives, authority regulations, laws and property legislation.
  • Responsible to assure compliance to financial directive for properties.
  • Responsible for cost within area of responsibility, including continuous follow-up and reporting in designated systems. Actively work to optimize cost including cost efficiencies and sustainable savings.
  • Responsible, in close cooperation with business control, to understand and explain the cost development as well as drive improvements to get back on track if needed.
  • Coaching, reviewing and delegating work to lower-level professionals.
  • Problems faced are difficult and often complex.
  • You provide innovative solutions to complex problems and share knowledge and way of working within your division/region.
  • Supporting the line manager in driving the operational agenda and mentoring others.

Who are you?

  • 10-15 Years of overall experience in Interior Design- Facility Management/Property Management
  • Good knowledge of material and methods for Workplace Management services.
  • Fully proficient in the RE Service desk IT system (Planon)
  • Negotiating and financial knowledge, how to add business value.
  • Solid communication and presentation skills.
  • Good skills in English, written and spoken.
