What you will do

Volvo Financial Services (VFS) Southeast is looking for an Operations Specialist to join our Operations team in Romania.

As an Operations Specialist, you will play a key role in supporting the full lifecycle of our leasing agreements, ensuring operational accuracy, excellent customer experience, and compliance with internal and external requirements. You will work closely with customers, dealers, and internal stakeholders to ensure smooth administration of contracts and timely execution of operational processes.

You will contribute to the success of our business by ensuring that contracts are accurately documented, maintained, invoiced, modified, and terminated when needed, while delivering service that reflects Volvo Group values and standards.

As an Operations Specialist, you will:

  • Initiate and administer documentation related to new leasing agreements, including signing, archiving, and registration in the contract management system.
  • Review and verify contract documentation to ensure compliance with credit decisions, legal requirements, and internal procedures.
  • Book business accurately and timely in the contract management system.
  • Support customers and dealer partners by responding to inquiries and resolving requests in line with defined service standards.
  • Manage invoicing processes related to down-payments, instalments, insurance recharges, administration fees, penalties, credit notes, and other billing activities.
  • Administer contract modifications, amendments, and termination processes, including calculations, documentation, payment monitoring, and status updates.
  • Prepare documentation required for asset registration and coordinate activities with external partners.
  • Manage incoming correspondence and ensure requests are resolved or routed to the appropriate stakeholders.
  • Monitor and maintain accurate contract data and documentation throughout the contract lifecycle.
  • Work in accordance with AML, KYC and GDPR requirements and support compliance with internal control standards.
  • Act in line with The Volvo Way, Volvo Core Values, and the Volvo Group Code of Conduct.

Your future team

You will become part of Southeast Operations team, a dynamic and collaborative group supporting Volvo Financial Services customers across Romania. The team works closely with colleagues from Sales, Credit, Finance, Insurance, Collections, and our dealer network to deliver a seamless customer journey.

In this role, you will have the opportunity to work with a broad range of stakeholders, gaining valuable insight into the leasing and financial services business while contributing to operational excellence and continuous improvement initiatives.

Qualifications Required To Be Successful In This Role Include:

  • Bachelor's degree in Business, Finance, Economics, or a related field.
  • Strong analytical, communication, and customer service skills.
  • Proven ability to challenge current practices, analyze information, and draw meaningful conclusions.
  • Excellent attention to detail and accuracy.
  • Strong organizational skills with the ability to effectively prioritize multiple tasks.
  • Proficiency in Microsoft 365 applications; Power BI and Power Apps knowledge is considered an advantage.
  • Fluency in English, both written and spoken.
  • Knowledge of Bulgarian and/or Hungarian is considered a plus.
  • Experience within financial services, leasing, banking, transportation, or a related industry is an advantage.
