Regional Parts Administrator - South & East
Working Monday to Friday = 37.5 hrs
The role can be based at any of our Dealer sites across the South & East region
About the Role
We are looking for a Regional Parts Administrator to provide central support to our South & East Parts Departments, with a strong focus on cost management, stock accuracy, reporting and process control.
Working closely with Dealerpoint Managers, Parts Managers and Dealer teams, you will play an important role in ensuring stock is accurately managed, costs are controlled and key Parts processes are followed effectively across the region.
This is a varied role that combines administration, data analysis and stakeholder support, making it ideal for someone who is highly organised, analytical and enjoys working with people as well as data.
As a Regional Parts Administrator, you'll have the opportunity to make a real impact across our South & East Parts operations.
You'll be at the centre of supporting Dealers with stock management, reporting and cost control, helping teams understand their data and identify opportunities to improve performance.
The role offers variety, responsibility and the opportunity to build strong working relationships across the regional Parts network.
What you will do
- Manage stock obsolescence in conjunction with Dealerpoint Managers, including MOR, slow-moving stock, DCR and supersession control.
- Centrally monitor and control stock adjustments.
- Assist with perpetual, monthly and annual stock checks, including occasional travel to support Dealers with physical stock counts.
- Oversee and assist with Group Buy Backs.
- Support Dealers in controlling CMS eligibility and Truckshop surcharges.
- Review traffic-light pricing and update Parts bulletins within GDS.
- Produce and review reports relating to Dealer Imprest Stocks, including agreements, usage and superseded Parts.
- Complete monthly Receipt Reconciliation and identify and escalate any discrepancies.
- Proactively support Dealers in understanding reports and taking appropriate action.
- Participate in review meetings and provide advice and support where required.
- Work in accordance with Volvo Group UK standards for health, safety, quality and environmental care.
- Undertake any other reasonable duties as requested by your manager.
About you
We're looking for someone who is organised, analytical and detail-focused, with the confidence to work with colleagues at all levels.
You'll ideally have:
- A good understanding of Parts processes.
- Strong IT literacy.
- The ability to analyse data, identify trends and draw clear conclusions and actions.
- Excellent attention to detail and accuracy.
- The ability to work effectively to tight deadlines.
- A persistent and determined approach, with the ability to follow tasks and projects through to completion.
- Strong written and verbal communication skills.
- The ability to build and maintain effective working relationships with Dealerpoint Managers, Parts Managers, Dealer staff, customers and suppliers.
- A proactive, enthusiastic and approachable manner.
- A flexible and positive approach to changing workloads and priorities.
- A strong team ethos and positive, can-do attitude.
- Good organisational skills and the ability to manage your own time and diary effectively.
- The ability to communicate and present information clearly, both verbally and in writing
