Volvo Group Digital & IT is looking for an experienced Executive Assistant to support the SVP of Digital Delivery.
Digital Delivery is a function within Group Digital & IT. We have the ambition to identify and execute on new digital initiatives in tight collaboration with business units across the Volvo Group, modernize and transform existing solutions and products, and to secure agile ways of working across the Digital Delivery function.
Digital Delivery is a corporate function with presence in Sweden, India, Poland, China, Brazil, France and USA. We are a team of approximately 3 000 people in total.

About the position
The position has the responsibility to assist and support with administrative tasks, to be the sounding board to the SVP of Digital Delivery, and to coordinate and drive own projects.
You will report to the SVP of Digital Delivery and will be part of the Management Team. In addition, you will be part of the Executive Assistant network within Volvo Group Digital & IT.
The position is based in Gothenburg.
This is the role:
- Proactive ownership of the SVP´s agenda, ability to coordinate complex meetings and projects by working directly with key stakeholders. Proven ability to plan and manage time effectively.
- Have ownership over the SVP´s inbox, ensuring all duties are completed in a prioritized and organized way.
- Obtaining and organizing information for use in conferences, speeches, and reports. Editing, proofing and formatting presentations, documents and research incl. basic authoring and drafting of correspondence.
- Drive and coordinate projects and programs related to business operations.
- Write meeting minutes from the Management Team meetings and meetings with key stakeholders and make sure that tasks are followed up.
- Manage administration, e.g., travel administration, purchase orders, invoices, and other expenses. The position includes infrequent travel to the function’s main locations.

- You are passionate about your work and thrives in a creative and dynamic environment
- Advanced knowledge typically obtained through education and relevant work experience as assistant on a senior executive level (>7 years).
- You need to have experience from working in a global company
- A good listener with high integrity; transmitting information accurately and understandably and actively seeking feedback. Handling highly confidential information and protecting the privacy of information in a correct way.
- Flexible and able to perform a wide range of tasks, responding to changes in direction and priorities and accepting new challenges and responsibilities. You should be self-dependent in the absence of specific instructions or requirements.
- You have a strong business acumen and a clear customer-centric mindset and are experienced in handling a wide range of administrative and executive support.
- Your professional behavior towards both internal and external stakeholders at all levels is both agile and representative
- You pay attention to details and have a high level of professionalism; you deal directly and forthrightly with people and problems; you are persistent in getting the job done.
- Good at planning and organizing; taking the lead and accepting responsibility for actions, costs and results.
- Experience from working in the tech industry is a merit
- You actively strive for continuous development and to develop your capabilities in the role.
- You are an experienced user of IT tools e.g. Microsoft Office, SharePoint/Teams, SAP/R3, SuccessFactors and other support tools for administration in Volvo Group
- You are fluent in English (written and spoken)
