What you will do

The Executive Assistant is dedicated to providing confidential executive level administrative support to the President Volvo Trucks, NA. This pivotal onsite role, based in Greensboro, North Carolina.  The Executive Assistant plans and executes projects, provides ongoing administrative support with professionalism and discretion and reports directly to the President. In this role, you will provide high-level administrative, operational, and strategic support, acting as a key "gatekeeper" to manage the President's time, communications, and priorities while collaborating with the leadership team. Acts as a high-level strategic partner, combining traditional administrative support with business intelligence to boost leadership efficiency. Operates as a trusted right hand filtering information, driving operational initiatives, managing complex projects, and aligning daily workflows with long-term company goals. 

 

Core Responsibilities:
•    Provides comprehensive executive administrative support for the President of Volvo Trucks, NA including the coordination and organization of detailed calendars, events and with strict confidentiality.
•    Manages the executive’s calendar, prioritizes meetings and coordinates domestic and international travel to maximize efficiency. 
•    Ability to interact with all levels of management practicing excellent interpersonal and communication skills (both verbal and written).
•    Ability to organize and prioritize work effectively on multiple tasks in a demanding and fast paced environment.
•    Manages visits for the President both onsite and off-site including travel arrangements (internationally and domestically), agenda planning, presentations, and acting as the liaison for all participants. 
•    Schedules President’s staff meetings and provides agendas and associated materials and compile minutes from meetings.
•    Manages key projects and initiatives as determined by President.
•    Acts as the primary point of contact for the President including phone support and visitors in a professional manner.
•    Tracks expenses and files expense reports in a timely manner in accordance with company policy and verifies incoming invoices and processes for payment.
•    Supports handling logistics for internal and external meetings as required. 
•    Works well with other executive administrative assistants with special events and activities.
•    Handle incoming and outgoing mail, including preparing overnight packages.
•    Manage the Volvo Trucks, NA governance calendars in alignment with Group Trucks NA governance processes.
•    Other duties as assigned.

Who are you?

Education and Experience:
• Associate degree preferred but not required.
• Exceptional planning and organizational skills with a demonstrated focus on quality, attention to detail, and proactive recommendations for productivity and efficiency.
• 10+ years of professional administrative experience.
• 8+ years of significant experience supporting C-Suite senior executives.
• Extensive experience managing calendars for multiple individuals, including meeting coordination and prioritization of meeting requests and events.
• Experience working in a fast-paced, professional environment where sound business judgment, flexibility to respond to shifting schedules and priorities, while maintaining composure under pressure.
• Proven experience in problem solving, research, and analysis.
• Effective level of ambition and the ability to understand and align with team and corporate objectives.
• Ability to build productive working relationships across all levels of the organization, both internally and externally.
• Superior verbal and interpersonal communication skills.
• Exceptional grammar, business writing, and presentation preparation skills, with the ability to communicate at all levels of the organization.
• Excellence in reading, writing, and speaking English.
• Demonstrated ability to handle confidential information and maintain the highest level of integrity and ethics.
• Expert-level proficiency with Microsoft Office Suite.
• Ability to travel 30% per year, with some international travel.

For this position, the base pay is set at $83,500.00 - $103,100.00 annually, and where applicable, bonus eligible.  The range for this role, as well as final salary offered, is determined by several factors including, but not limited to, geographic location, work-related knowledge, certifications, skills, education, and experience. In addition to these factors, we believe in the importance of pay equity and consider internal equity of our current team members as part of any final offer.
