What you will do
The Litigation Support & Documentation Specialist supports litigation, bankruptcy, recovery and commercial finance matters while maintaining strong matter management, legal workflows and policy documentation.
This role combines litigation support, document management, legal operations and policy documentation. The ideal candidate is organized, detail-oriented and experienced in legal support within financial services or equipment leasing.
Key Responsibilities
- Coordinate document collection, preservation, organization and production for litigation, bankruptcy, recovery, regulatory and dispute matters.
- Track deadlines, court dates, litigation holds, discovery obligations, limitation periods, and matter milestones.
- Maintain matter trackers, including status, pleadings, deadlines, discovery requests, and action items.
- Prepare and organize pleadings, motions, discovery, subpoenas, correspondence, and court filings.
- Support litigation holds, custodial interviews, document preservation, and e-discovery coordination.
- Coordinate with outside counsel, internal teams, and vendors to support timely matter progress.
- Prepare matter summaries, reports, settlement documents and status reports.
- Assist with subpoena responses, third-party requests, and internal investigations.
- Manage documentation for defaults, charge-offs, recoveries, repossessions, bankruptcy, and debtor-creditor matters.
- Prepare proof of claim packages, legal referral files, default notices, acceleration notices, and recovery packages.
- Manage legal workflows, including intake, review, approval routing, execution, and follow-up.
- Administer legal request tools, repositories, and operations systems.
- Track legal metrics such as cycle times, matter volumes, outside counsel activity, legal spend, and document completion.
- Identify process improvement, automation, standardization, and self-service opportunities.
- Maintain policies, playbooks, procedures, templates, compliance trackers, certifications, and process documentation.
- Support audits, regulatory exams, compliance assessments, due diligence requests, and legal file reviews.
- Coordinate policy review cycles, approvals, and policy-change communications.
- Monitor relevant legal and regulatory developments and flag needed updates.

Qualifications Required
- 3 to 7+ years of legal support, paralegal, litigation operations, or legal documentation experience.
- Experience supporting litigation, collections, bankruptcy, recovery, disputes, regulatory matters, or related legal matters.
- Strong knowledge of document management, records organization, version control, and repository administration.
- Working knowledge of commercial lending, leasing, secured transactions, UCC filings, lien perfection, and collateral documentation.
- Experience with document management systems, contract tools, legal request systems, or SharePoint repositories.
- Strong organizational, writing, communication, and project management skills.
- Ability to manage priorities, sensitive information, and deadlines with discretion and sound judgment.
Preferred
- ABA-approved paralegal certificate.
- Experience in equipment finance, leasing, commercial finance, asset-based lending, or financial services.
- Familiarity with bankruptcy, debtor-creditor matters, and default documentation.
- Experience with litigation holds, e-discovery, subpoenas, records retention, and outside counsel coordination.
- Familiarity with PACER and court filing procedures.
- Experiences with legal matter management tools including Legal Tracker.
- Experience with legal operations, metrics, automation, vendor management, and template standardization.
- Advanced Microsoft 365 skills, including Excel and SharePoint.
- Familiarity with UCC, AML, OFAC, and state commercial financing disclosure requirements.
