What you will do

At Volvo Penta you will contribute to the transformation of our company, the transport industry and society at large.

You will: 

 

  • Create, monitor, and manage sales orders to ensure smooth order processing and timely release to production.
  • Review and validate order accuracy, completeness, and readiness prior to production release, ensuring all requirements are met and minimizing post-release changes.
  • Proactively identify and resolve technical, operational, or credit-related hold codes to prevent delays and ensure orders progress according to plan.
  • Collaborate closely with Logistics and Sales teams to confirm delivery schedules and provide customers with accurate order acknowledgements and promised delivery dates.
  • Review payment terms and monitor payment status to ensure all required payments are received prior to shipment in line with agreed commercial terms.
  • Verify payment status in SAP and coordinate with relevant stakeholders to communicate payment-related updates.
  • Review customs and shipping documentation to ensure compliance and accuracy, including pricing, Incoterms, quantities, product specifications, and other shipment details.
  • Coordinate with customers, customer logistics teams, and relevant global stakeholders to ensure seamless order fulfillment and shipment readiness.
  • Monitor unapplied invoices and outstanding payments, and work closely with the Finance team to ensure timely reconciliation and clearance.
  • Handle customer requests related to returns, order modifications, resales, and other post-order activities.
  • Create debit and credit orders when required to correct invoicing discrepancies.
  • Support inventory optimization efforts by proactively working to reduce and ship unapproved stock.
  • Follow up on customer account receivables and support collection processes when necessary.
  • Actively participate in regional and global meetings, forums, and cross-functional initiatives.
  • Contribute to continuous improvement activities, ad hoc projects, and additional responsibilities as assigned.

Main requirements for this role: 

 

  • Bachelor's degree in Business Administration, Foreign Trade, Logistics, or a related field
  • Long-term internship or work experience in Foreign Trade, Order Management, Logistics, or related functions is a plus
  • Excellent written and verbal communication skills in English
  • Proficiency in MS Office applications; experience with Oracle and SAP is an advantage
  • Strong willingness to learn and develop in an international business environment
  • Detail-oriented with strong follow-up, coordination, and communication skills
