What you will do
The main purpose of the position is to support the sales department by ensuring smooth operations to enhance their efficiency and effectiveness. Responsible for overseeing the administration of all demand planning, vehicle orders, inventory, sales forecast, order book management, invoicing and incentive management to ensure the sales pipeline process is effectively managed and controlled in line with the company’s agreed targets. The department must be compliant with authorization rules, guidelines, policies, and procedures. The role is based at Volvo Group Southern Africa Pty headquarters and reports directly to the Sales and Logistics Manager or a suitable position.
Reporting: This position reports to Director Commercial & Used.
Job Objectives:
- Managing and maintaining internal sales database systems to ensure accurate Sales and Order Allocation reporting (Local & Export).
- Seamless order processing and vehicle logistics pipeline management.
- Collaborate with sales teams to complete sales allocation and amendment of deals, ensuring all prerequisite documentation have been supplied and database is updated.
- Ensure required documentation required for invoices is supplied before invoicing for CBU Units sold locally and exports Markets and keep record of all deal files for audit and tracking purposes.
- Preparation of data for the Weekly Sales forecasts and projections to manage pipeline stock and to ensure minimum required inventory levels are maintained to support the sales process whilst mindful of impact of excess stocks on working capital.
- Co-ordination with Group Truck Operations (GTO) Plant Durban on the production and ensuring units transfer correctly in Truck operating systems.
- Monitoring of vehicle movement transactions in adherence to the Distribution Policy and making sure system error and reported and resolved timeously.
- Monthly reporting of sales details. Response group report, Sales query, deposit listing, Goods in Transit, region split.
- Maintain a record of trade backs and ensure that the application annexures are signed and forwarded to the RV team for activation.
- Updating & improving departmental SOPs (Standard Operating Procedures) by applying current best practices in line with company policy.
- Providing status updates to internal (executive level & other departments) and external stakeholders (dealer network) on any queries & issues raised.
- Ensuring that the incentive is correctly applied in line with approved directives, managing the processing monthly.
- Ensure continuous improvement are applied across sales operation and logistics teams, through cross functional collaboration, tools and process improvements.

Qualification & Job Experience
- Commercial degree or equivalent.
- 3-5 years’ experience in similar role.
- Computer Literate, Microsoft excel and Volvo Group related systems.
- Knowledge of the Automotive Industry.
- Communication and Collaboration.

- Order Processing and Fulfilment.
