As an IT Software Order Management Specialist, you’ll be the engine behind our software order operations—ensuring every license, renewal, and transaction is flawlessly executed. You will leverage your expertise in automation and advanced data analysis to simplify processes and elevate operational excellence. Collaborate closely with brilliant minds across the business—from Software Asset Managers to Finance and Contract Managers—and work directly with our key supplier, SAP. This role is part of Volvo Group’s vibrant Digital & IT community worldwide, connecting you with talented professionals driving innovation globally.

What You’ll Do

  • Own IT Software Orders: Manage SAP software orders—including entry, validation, renewals, internal cost allocation, and invoice matching.
  • Keep Accurate Records: Ensure every order, payment, and transaction is meticulously tracked.
  • Improve Processes: Verify and optimize existing workflows for efficiency and compliance.
  • Automate Workflows: Use Power Automate and Excel Power Query/Power BI to simplify tasks.
  • Collaborate Closely: Partner with IT Requestors, Software Asset Managers, Finance, Controlling, Contract Managers, IT teams, and the broader order management team to support each other and deliver seamless operations.
  • Support Internal Customers: Provide order status updates and resolve issues quickly.
  • Resolve Discrepancies: Address problems confidently and creatively.
  • Analyze & Advise: Generate reports and insights to guide business decisions.
  • Own the Order Cycle: Drive operational excellence throughout the entire process.

What We’re Looking For

  • Education: Bachelor’s degree in IT, Business Administration, or a related field.
  • Experience: 2+ years in IT order management or process automation roles.
  • Tech Skills:
    • SAP product and licenses and related compliance
    • Hands-on experience implementing automation with Power Automate and advanced Excel skills (Power Query, VBA a plus)
    • Strong proficiency in Power BI for data visualization and business insights
    • Knowledge of the ServiceNow Data Platform is a strong advantage
  • Soft Skills:
    • Team Player: Collaborative and adaptable in a dynamic, international environment.
    • Communication: Excellent collaboration and communication skills in English.
    • Problem-Solver: Resourceful, proactive, and effective under pressure.
