Arrow Truck Sales, Inc. is North America’s leading source for used heavy-duty and medium-duty trucks. We are currently seeking a detail-oriented Administrative Assistant to provide administrative, clerical, and accounting support to dealership operations, sales, and finance teams. This role plays a key part in ensuring efficient daily operations and a positive customer experience.

Responsibilities

  • Receive and direct incoming phone calls to appropriate staff members
  • Greet customers, visitors, and vendors in a professional and friendly manner
  • Sort and distribute incoming mail
  • Process invoices through accounts payable, including posting purchase orders and internal charges to inventory
  • Process and reconcile branch petty cash
  • Report branch deposits and credit card transactions to corporate accounting
  • Scan and submit final recap packages to the Accounting department
  • File truck deal jackets and related documents after Finance & Insurance (F&I) Manager completes sale transactions
  • Provide administrative support and back-up coverage for the Finance & Insurance Manager as needed
  • Check vehicle titles daily for accuracy, completeness, and proper documentation
  • Copy, scan, and file documents in accordance with auditing and compliance guidelines
  • Maintain accurate, organized records to support dealership operations
  • Project a consistently positive, professional, and customer-focused attitude toward customers, vendors, and co-workers

 

Preferred Experience and Knowledge

  • Accounts payable experience preferred
  • Customer service experience in a professional or dealership environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent phone etiquette and verbal communication skills
  • Strong organizational skills with the ability to multitask and manage competing priorities
  • Title processing experience preferred

 

 

At the Volvo Group, we strive for a clear, transparent, and straightforward compensation approach, motivating you to contribute to the company’s growth. For this position, the base pay is set at $40,000.00 - $50,000.00 annually, and where applicable, bonus eligible.  The range for this role, as well as final salary offered, is determined by several factors including, but not limited to, geographic location, work-related knowledge, certifications, skills, education, and experience. In addition to these factors, we believe in the importance of pay equity and consider internal equity of our current team members as part of any final offer.
