Role Context
We are seeking an Executive Assistant to provide operational and organizational support to Head of People & Culture (P&C) and the Chief Financial Officer (CFO) of Renault Trucks and Volvo France in their daily activities and responsibilities.
In this role, you will be a trusted partner, going beyond traditional administrative tasks to become a strategic ally to both executives. You will combine efficient organization with operational excellence, proactively anticipate needs, and handle sensitive matters with the utmost discretion and integrity.
Autonomous and proactive, you excel at managing multiple tasks simultaneously while fostering a positive and professional work environment. You will actively contribute to strengthening a culture of trust, efficiency, and collaboration within the organization.
You will also collaborate with the global network of Executive Assistants across the Group, promoting cooperation, knowledge sharing, and alignment between different entities.
This permanent role is based in Lyon (69).
Main Responsibilities
Calendar Management & Meeting Coordination:
- Skillfully organize the executives' schedules, ensuring alignment with strategic priorities and optimal time utilization.
- Facilitate the planning and execution of meetings and seminars, including travel arrangements and logistics, attendee coordination, and material preparation when applicable.
- Support executives’ management team members upon need.
- Secure the utmost discretion, integrity and confidentiality of topics shared or discussed.
Approval Authority Delegation:
- Approve invoices, documents and transactions on behalf of the manager, ensuring compliance and company guidelines.
Process Optimization & Digital Innovation:
- Continuously seek and implement improvements to administrative processes, driving efficiency and effectiveness.
- Researches and implements cutting-edge digital tools including IA to enhance administrative efficiency and task management (act as digital champion).
Leadership Support:
- Provide comprehensive day-to-day support to the executives, anticipate needs and proactively address challenges.
- Actively participates in leadership and team meetings, providing valuable insights and contributions and developing business acumen.
- Support efficient execution of projects and initiatives decided in the teams, ensuring progress and alignment with organizational goals.
- Ability to design and implement initiatives or events that strengthen team cohesion and enhance well-being and engagement.
- Actively engage in the global Executive Assistant network, aligning practices and contributing to global initiatives.
Profile Sought
Degree level (Associate/Bachelor’s degree) in Executive Assistance, Business Administration, Languages, HR, or equivalent.
Minimum 5 years of proven experience as an Executive Assistant or equivalent, ideally in an international environment.
Proficiency in both French and English, written and spoken.
Strong organizational and multitasking skills; ability to manage priorities under tight deadlines.
Attention to Detail: Uphold exceptional quality across all tasks.
High level of autonomy, anticipation, and initiative.
Forward-thinking, with the ability to anticipate executive and organizational needs, while continuously seeking opportunities for improvement and innovation.
Business acumen and the ability to understand strategic priorities.
Strong interest in digital tools and innovation; proficiency with Office 365, Teams, SharePoint, and other collaboration platforms.
Excellent communication skills, able to convey complex ideas concisely.
Adaptive thinker, capable of recalibrating strategies in evolving situations.
Discretion, reliability, and a strong sense of trust.
