Short Description

We are looking for an Executive Assistant to the Senior Vice President (SVP) of Volvo Group Purchasing Legal and Compliance (L&C). You will be an essential person for us and will act as the heart and the glue of the Management team and L&C department. This is a great opportunity for someone who is a team player and that wants to grow in a very exciting and challenging environment and that wish to have a position with a high level of responsibility and visibility.  

What you will do

•    Work proactively to support your SVP by providing an efficient and professional service by managing day-to-day issues, support and follow-up plans and activities.  
•    Support with travel, expense reports, business, general administration and agenda proposition and planning.  
•    Responsible for the department’s administrative routines as well as proficiency in IT tools such as MS Office, Teams, SharePoint, EBD and Origo.  
•    Review and prepare presentations and reports, including metrics. Plan, organize and follow-up on actions decided in the team meetings.  
•    Responsible for the information flow and team activities within the department.  
•    Plan, organize and lead activities and events for the department.  
•    Coordinate team activities to enhance efficiency and team spirit. Lead or assist in leading team-related projects, managing deadlines, and ensuring cost-efficient project delivery. 
•    Be actively involved in the onboarding on new members.  
•    Implement benchmarked tools/activities within other departments in the same organization.

•    International approach/interest and a global mindset with advanced skills (work proficiency) in English. Additional languages are appreciated  
•    Strong skills in IT systems in general and Office365 in particular  
•    Good social competence and networking skills – someone who loves teamwork and to collaborate will love this job!  
•    Prior experience as an executive assistant in a global company such as Volvo Group is a must
•    Knowledge about the Volvo organization and administrative routines is an advantage. Previous experience as executive assistant in a legal or compliance department of a global or a listed company is greatly appreciated.
•    Relevant education and experience from similar positions
