Production Support Officer

Join our Production team as a Production Support Officer and play a key role in keeping our production floor running smoothly. This role provides high-quality administrative and operational support, ensuring accurate system processing, vehicle documentation, and compliance with Volvo Production System requirements.

 

The role

Reporting to the Production Manager / Production Supervisor, you will be responsible for managing repair orders, production system transactions, reporting, and documentation workflows. You will also act as a key point of contact for internal stakeholders and support production supervisors with day-to-day operational needs.

 

Key responsibilities

  • Open and close Repair Orders (R/O) in GDS Fusion
  • Process EWO requests (Production FE, Warranty FE, harness/sub-assembly, sub-assemblies) in GDS Fusion
  • Process sublets in GDS Fusion
  • Update generic chassis numbers to actual chassis numbers in GDS Fusion
  • Create and manage WIP reporting processes
  • Perform DPV data entry and maintain accurate Production portal data
  • Manage chassis arrival and departure documentation and processes
  • Manage ID plate requests and associated checking processes
  • Maintain repair order and travel card document requirements
  • Manage FE dispatch email process and dispatch completion documentation to Order Office and PL
  • Coordinate vehicle call-offs from storage to meet production schedule and site capacity
  • Manage vehicle acceptance, condition reports, transport damage, and factory warrantable repairs processes
  • Maintain R/O storage and disposal processes
  • Manage EBD access/processing, including ordering boots and uniforms
  • Submit supplier invoices for payment and process air freight invoices
  • Conduct chassis stock counts and site vehicle stocktakes
  • Maintain, review, and improve Standard Operating Procedures (SOPs)
  • Maintain job cards aligned to the production schedule
  • Conduct monthly re-work R/O reviews
  • Manage trade plate renewals
  • Ensure compliance with Environmental Policy, ISO9000, and WHS requirements
  • Other duties as required

 

What you’ll bring

 

  • Experience in a production, manufacturing, or administrative support environment
  • Strong capability in systems such as Fusion and EDB (or similar), with excellent data entry accuracy and attention to detail
  • Experience with DPV reporting and EWO processes
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong organisation skills and ability to manage competing priorities in a fast-paced environment
  • Clear communication and teamwork skills, able to work cross-functionally
  • Experience maintaining and reviewing SOPs
  • Problem-solving ability to troubleshoot process issues and resolve discrepancies
  • Knowledge of Mack/Volvo products and production processes (highly regarded)
  • First Aid Certificate and Fire Warden training (desirable)

 

Safety, compliance, and risk focus

 

You will be expected to actively support a safe workplace culture, follow WHS requirements, report hazards/incidents, and contribute to risk management and compliance practices. Fire Warden duties and current First Aid certification are desirable for this role.
