We are looking for a dedicated and detail-oriented HR Administration Specialist to join our Global Center in Wrocław. In this role, you will be a vital part of "Swedish Deliveries"—a larger group of specialized teams dedicated to supporting our colleagues and business operations across Sweden.

You will be joining a close-knit, high-performing team of 16 professionals. At Volvo Group, we pride ourselves on our Scandinavian working culture. How we work

We value flexibility and team connection. This role operates on a hybrid model, combining the focus of remote work with the collaborative energy of in-person teamwork (mandatory office presence is 2 days per week).

Your Typical Day-to-Day Responsibilities:

  • Employee Lifecycle Management: Guide employees through their Volvo Group journey, from seamless onboarding and contract generation to role changes and offboarding, ensuring a high-quality employee experience.
  • Master Data Champion: Maintain, update, and ensure the absolute accuracy of employee data (organizational changes, compensation updates, leaves) within SAP SuccessFactors.
  • HR Query Resolution: Act as a trusted, first-line point of contact for colleagues and managers in Sweden, providing timely and professional support for HR-related inquiries.
  • Document Creation & Compliance: Prepare essential HR documentation—such as contracts, annexes, and employment certificates—ensuring alignment with internal guidelines and Swedish labor standards.
  • Payroll Input & Vendor Collaboration: Prepare and verify accurate data inputs for payroll processing, and collaborate closely with external vendors to ensure smooth HR operations.
  • Process Optimization: Proactively identify bottlenecks, update Standard Operating Procedures (SOPs), and actively participate in continuous improvement initiatives and system testing.

What you bring to the team

To succeed in this role, you should be a highly organized team player with a hands-on approach to problem-solving.

Your core skills:

  • Experience: Proven background in HR, preferably within HR Administration or a similar function.
  • Language: Fluent English (at least B2 level) to seamlessly communicate with international stakeholders.
  • Tech Savvy: Practical experience with SuccessFactors and strong proficiency in MS Office 365.
  • Mindset: A "can-do" attitude with a strong eagerness to continuously improve business processes and quality.
  • Work Style: Excellent time management skills, a highly systematic approach, and a sharp eye for detail.
  • Team Spirit: An exceptional team player who performs at a high level and thrives in a collaborative environment.

 

 

Nice to have (Assets):

  • Swedish Language: Knowledge of Swedish is an advantage!
  • Vendor Management: Previous experience working and coordinating with external vendors.
  • Education: A university degree (Economics, Management, Business Administration, or Philology).
