What you will do

We are currently looking for an Office Lead for the replacement contract during appr. 1,5 year.

 

The Office Lead helps to coordinate the office, meetings, events etc. and provides administrative support to the Head of Global Center. This part of the tasks will take up approximately 30% of the working time. The main tasks of the Office Lead position are coordination of initiatives and projects, both local and business-driven. This position is based in Wrocław (Poland) and in an average week requires 2 days office presence.


Your main focus will be to:

  • Coordinate projects and initiatives
  • Plan and organize in-house or off-site activities, events, conferences
  • Work closely with other departments representatives: IT, accounting, purchasing, vendors
  • Manage internal communication
  • Provide administrative support to the Head of Global Center. This will include the coordination and organization of detailed calendars and reports in a confidential, professional manner
  • Schedule meetings and provide agendas and associated materials in advance
  • Manage visits both onsite and off-site including domestic and international travel arrangements, general support to visitors, agenda planning, presentations, and acting as the liaison for all participants
  • Organize the office layout and office routines, manage office supplies
     

We would like you to contribute with the following:

  • Experience in office management, administrative or assistant duties
  • Bachelor’s degree
  • Excellent verbal and written communication skills in English and Polish
  • Digital Literacy in Microsoft Applications in a 365 Office environment
  • Highly experienced in creating executive presentation decks in PowerPoint or similar cloud-based tools
  • Excellent time management skills and ability to multi-task and prioritize work
  • Exceptional planning and organizational skills
  • Problem-solving and decision making with a pro-active business mindset
  • Attention to detail with emphasis on accuracy and quality
  • Works well in both a team environment and independently
  • A creative mind with an ability to suggest improvements
  • Proven experience in completing basic research and analysis tasks independently
